BIDGEE GOLF TRAVEL — BOOKING TERMS AND CONDITIONS
These terms apply to all tours and travel packages sold by BEAR & EMMA INVESTMENTS PTY LIMITED trading as Bidgee Golf Shop and Bidgee Golf Travel (“we”, “us” or “our”).
By booking or paying, you accept these terms for yourself and anyone included in your booking. The itinerary, invoice and tour-specific information also form part of your agreement. Tour-specific conditions take priority where they differ from these terms.
BOOKINGS AND PAYMENT
Your booking is confirmed when we receive the required deposit or full payment and issue confirmation. Unless otherwise stated, final payment is due 21 days before departure. Unpaid bookings may be cancelled after we make reasonable attempts to contact you.
PRICES
Prices are in Australian dollars, per person and include only the accommodation, golf, transport, meals and services listed in the itinerary.
You are responsible for anything not listed, including airfares, insurance, transfers, passports, visas, drinks, optional activities, baggage costs and personal expenses.
Prices may change before final payment due to supplier charges, taxes, exchange rates or transport costs outside our control. We will advise you of any material increase.
TRAVEL INSURANCE AND DOCUMENTS
Comprehensive travel insurance is mandatory unless we agree otherwise in writing. It should cover medical treatment, evacuation, cancellation, delays, luggage, golf equipment and additional travel expenses.
You are responsible for ensuring your insurance is suitable and for obtaining all passports, visas, permits and health documents required for travel.
HEALTH AND DIETARY REQUIREMENTS
You must be sufficiently healthy and fit to participate safely. Tell us before departure about any medical condition, disability, allergy, dietary requirement or mobility limitation that may affect your participation.
We will make reasonable efforts to assist but cannot guarantee that every venue or supplier can accommodate individual requirements. Additional arrangements may incur extra costs.
ITINERARY CHANGES
Golf courses, tee times, accommodation, transport, meals, activities, hosts and schedules may change because of weather, course conditions, supplier availability or other operational requirements.
If a significant inclusion becomes unavailable, we will make reasonable efforts to provide a suitable alternative. Minor itinerary changes do not normally entitle you to cancel or receive a refund.
EVENTS OUTSIDE OUR CONTROL
Events outside our control include severe weather, natural disasters, pandemics, government restrictions, war, strikes, transport disruption, supplier failure, breakdowns and golf course closures.
If such an event affects the Tour, we may change, postpone, substitute or cancel arrangements. Any refund, credit or alternative will depend on the circumstances, supplier conditions, money recovered from suppliers and Australian Consumer Law.
We are not responsible for additional personal expenses such as replacement flights, meals or accommodation. Appropriate travel insurance is strongly recommended.
MINIMUM NUMBERS
Some Tours require minimum participant numbers. If these are not reached, we may cancel, reschedule or offer revised arrangements.
If we cancel, you may transfer to another Tour, accept the revised arrangements or receive a refund of amounts paid to us for the cancelled Tour. We are not responsible for separately booked travel or accommodation.
CANCELLATION BY YOU
Cancellations must be submitted in writing. Unless different conditions are stated for a particular Tour, the following fees apply:
• 21 days or more before departure: 20% of the Tour price.
• 14–20 days before departure: 50% of the Tour price.
• Less than 14 days before departure: 100% of the Tour price.
Irrecoverable airline or supplier charges may also apply, but we will not retain more than you paid. We will take reasonable steps to recover refundable supplier payments.
CHANGES AND UNUSED SERVICES
Booking changes are subject to availability and supplier approval. You must pay any resulting price difference or supplier charge. Bookings may only be transferred with our written approval.
No refund is normally available if you arrive late, leave early, miss an activity, choose not to use an included service or fail to meet travel requirements. This does not limit your rights under Australian Consumer Law.
ACCOMMODATION AND LUGGAGE
We cannot guarantee compatibility when matching participants for shared accommodation. Anyone requesting separate accommodation must pay the additional cost.
Unless otherwise stated, Tour transport permits one standard suitcase and one golf bag per person. Extra baggage charges are your responsibility.
GOLF CARTS AND CONDUCT
You must follow all golf course, accommodation, transport and supplier rules. Cart drivers must satisfy licensing and age requirements, drive safely and accept responsibility for damage caused by their negligent or unlawful operation.
You must behave respectfully and safely. We may remove anyone whose conduct creates a safety risk, seriously disrupts the Tour or affects other participants. That person is responsible for their onward travel and related expenses.
SUPPLIERS AND LIABILITY
Tour services may be delivered by independent golf courses, hotels, transport operators, airlines, restaurants and other suppliers. Their terms may also apply.
Our services come with guarantees that cannot be excluded under Australian Consumer Law. Nothing in these terms removes any right, remedy or guarantee that cannot lawfully be excluded.
To the extent permitted by law, we are not responsible for loss caused by your actions, undisclosed requirements, separately booked services, independent suppliers or events outside our control.
PHOTOGRAPHS AND PRIVACY
Tour photographs or recordings may be used for our website, social media and promotions. Tell us before or during the Tour if you do not consent, and we will make reasonable efforts to exclude your identifiable image.
We collect and share information reasonably required to manage your booking and provide Tour services.
COMPLAINTS AND GOVERNING LAW
Report problems promptly so we have an opportunity to address them. Formal complaints must be submitted in writing.
These terms are governed by the laws of the Australian Capital Territory and Australia. Nothing prevents you from exercising rights through a court, tribunal, consumer agency or Australian Consumer Law.
